JOB DESCRIPTION 

POST TITLE :  Marketing Administrator

SALARY SCALE :  Points 10 to 13 on the College Payscale

DATE :  November 2011  

GENERIC PURPOSE OF POST

To provide high-quality efficient and effective non-teaching support, assisting with the promotion of opportunities for learning thereby enabling all learners to achieve to the best of their ability. All staff are expected to support the College’s commitment to safeguarding and child protection.

JOB ROLE PURPOSE OF POST

To assist the Marketing Manager in the professional marketing of the College to schools, community groups, employers, employees and universities, both in the UK and overseas, with a view to securing quality volume business and promoting the College’s values and ethos.

College Responsibilties

In addition to the generic responsibilities referred to above, all colleagues employed directly in support of assisting with the provision of the teaching and learning experiences of students at Stratford-upon-Avon College are expected to undertake the following College related responsibilities.

1. Flexibility

To work flexibly as part of a team with cross College responsibilities.

2. Marketing

To assist either directly or indirectly, with the recruitment, admission and enrolment  of students and the marketing of courses in particular, and the College, in general.

3. Quality Assurance

To participate in undertaking all appropriate aspects of the College’s Quality Assurance systems.

4. Equal Opportunities

5. Staff and Continuous Professional Development

Job Role Responsibilities

Professional/Technical/Procedural Knowledge

The job requires knowledge of the procedures for a range of duties, a limited number of which either singly or in combination, are moderately complex together with the ability to operate associated equipment and/or tools.

The job involves carrying out a moderate range of varying of tasks or duties of limited complexity and normally under supervision.

The job involves minimal exposure to disagreeable, unpleasant or hazardous environmental working conditions.

HOURS OF WORK

The postholder will normally work for 37 hours per week for 52 weeks per annum (excluding entitlement to annual leave and bank and public holidays recognised in England and Wales). The postholder may be required to undertake some evening and weekend duties as part of their normal working week. Hours worked in excess of 37 hours may be claimed on an hour-for-hour time off in lieu basis.

CRIMINAL RECORDS BUREAU

From time to time you may be required to undertake duties that involve unrestricted contact with children or vulnerable adults, therefore the offer of employment is subject to a satisfactory Standard/Enhanced Disclosure statement from the Criminal Records Bureau (CRB). A copy of the CRB’s Code of Practice is available on request.

LINE MANAGER: Marketing Manager

NOTE:

 The following specific Job Role Duties are current as at the date shown above. These duties will be reviewed, normally annually, and, in consultation with the postholder. The College reserves the right to make such changes as deemed necessary and appropriate in support of effective and efficient operational requirements.

Strategy:

  1. Assist the Marketing Manager with the implementation of the Marketing Strategy.
  2. Assist the Marketing Manager in the implementation of their areas of work.

Direction:

  1. Collect and maintain College course information for the use in College marketing materials, such as prospectuses and the website.
  2. Liaise with other College areas regarding their course details and their representation in College marketing materials, including the College website.
  3. Prepare displays and materials for events.
  4. Be adaptable to work in the Marketing office and manage the Marketing desk at the College main site.

Implementation:

     7.     Assist in the production of marketing materials to include publications, leaflets, adverts and posters, contributing design and ideas.

  1. Help in identifying new opportunities for marketing activities.
  2. Promote, prepare and assist in the effective arrangement of College events to ensure their success.
  3. Support all aspects of the College marketing function providing assistance whenever possible.
  4. Represent the College at internal and external marketing events
  5. Assist in producing press releases
  6. Positively promote the marketing function across the College.

Administration:

   14. Assist in responding to email, letter and telephone enquiries.

   15.Prepare and check the invoices and purchase orders ready for signature.

   16. Provide high quality effective and efficient administrative support to the College Marketing Team as required.

   17. Arrange for distribution of College publications and promotional materials to clients/venues ensuring adequate levels are maintained.

   18. Monitor stock levels of all publications and promotional materials with regular updates to the Marketing Manager to inform future    expenditure.

    19.Support the team in the continuous maintenance of the website.

    20.Ensure the prompt response to email, letter and telephone enquiries.

 

SUMMARY OF CONDITIONS OF SERVICE 

Salary

 Salary will be between £15,907.00 and £17,290.00 per annum within salary range points 10 to 13 on the College payscale, depending on qualifications and experience. All salaries will be divided by 12 and paid as 12 equal monthly payments, this also applies to staff on term time only Contracts.

Working Hours

The postholder will be required to work 37 hours per week for 52 weeks per year. These hours will be flexible according to the needs of the College and may include the need to work some evenings and weekends when required, for which time off in lieu will be given.

Annual Leave

There is a full time annual leave entitlement of 33 days in a full leave year (September – August, pro-rata for less than full time, which includes your entitlement to statutory bank and public holidays as recognized in England and Wales). This leave includes up to 5 days when the College is closed in the interests of efficiency. 

Sick Pay Scheme

A sick pay scheme is in operation. A copy is available from the Human Resources Department.

Superannuation

The successful applicant will be admitted to the Local Government Superannuation Scheme unless he/she completes a written option not to join. Full details of the scheme will be given to enable the successful applicant to make an informed decision as to whether to join in the Scheme.

Medical

Following interview, successful candidates will be required to complete a medical questionnaire following which they may be required to undergo a medical examination and/or chest x-ray.

Any Terms and Conditions of employment not specifically stated here will be in accordance with the Contract of Employment agreed by the Corporation with the recognised Union (UNISON). Variations in terms and conditions of employment negotiated and agreed between the Stratford-upon-Avon College Corporation and the Union(s) recognised by the Corporation will be separately notified to you or otherwise incorporated in documents available for your reference.

Probationary Period

Any appointment to this post will be subject to the satisfactory completion of a twelve month probationary period.

References

All appointments to the College are subject to receipt of two references satisfactory to the College, one of whom should be given by either your current or most recent employer.

Immigration Checks

All appointments to the College are subject to receipt of documents evidencing proof of permission to work in the UK.

Criminal Records Bureau

All appointments to the College are subject to a satisfactory Disclosure statement from the Criminal Records Bureau.

Qualifications / Experience

Qualifications

Good standard of general education to GCSE Level at Grade C or above in English and Maths (or equivalent)     Essential

(Qualifications will normally be held at the above level  although in exceptional circumstances proven experience in the use of software packages may  be taken into consideration)
